Redirections are put in place for the following reasons:
– to redirect processes that require authorisation when a manager is absent to ensure processes are approved– this should be done by the line manager before they take annual or approved leave
– line managers should contact the HR helpdesk to get redirections put in place if one of their team, with line manager responsibilities, is on sickness absence
– redirect process when a line manager leaves the council or transfers to a new . If a line manager leaves, their line manager needs to inform the iTrent System Dev team of new or temporary hierarchy and direct reports need to report into that new/ temporary hierarchy as advised by line manager’s manager.
– If a senior member of staff with no line manager above them that is leaving/ left/ off sick their PA needs to inform the System Dev Team of the temporary or permanent changes.
HOW TO ACCESS WORKFLOW REDIRECTIONS
- Login to iTrent with your Manager Self Service profile
To view workflow redirections:
- Select Workflow Redirections from the right-hand side of the home dashboard.
You’ll be taken to the screen below where you can Create New Redirections or View Redirection Details.
*Please note that there may already be workflow redirections set up for Time & Expenses and Overtime authorisations. Time & Expenses and Overtime are approved by budget holders who are on the authorised signatory list*. Therefore, a redirection may already exist to ensures that claims are directed to a budget holder Please do not amend any redirections that have been set up for you.

HOW TO SET UP A REDIRECTION
Select Create new redirection to access the My task redirections screen:
Enter the task redirection details:
- Start date: enter the date to begin the redirection
- End date: enter the date (if known) to stop the redirection
- Process type
- Task Processes –redirect tasks to the appropriate people e.g. Redirect all ARGBC – ESS – Absence to the person dealing with leave, and all ARGBC – ESS – Payroll – Time & Expenses to the person dealing with expenses
- Redirect – to be used when a line manager is absent and redirects all tasks to a manager who has the authority to sign off expenses (is a budget holder) and is a People Manager
- Vacancies – not used
- Process (Required) direct specified process to department administrators (e.g. absence redirections may be sent to flexi admins or another line manager with the role of People Manager. All payroll processes must be redirected to a budget holder. Please see below list of processes that can be redirected
- Redirect to (Required) use the spyglass to search and select the employee you are redirecting your tasks to. Ensure the role of the person you are assigning the redirection to has the appropriate role to manage the redirections
- Click Save to update your redirections
A list of your redirections will appear on the left-hand side of your screen:
A list of your redirections appears on the left-hand side of your screen. Hover your mouse over the date to view a summary of each redirection.
Click on any of the redirections to access the redirection details page.
You can update any of the details and confirm the changes by clicking Save
You can delete the redirection by clicking Delete
You can create a new redirection by clicking New
You can see your redirections on the left-hand side of the screen. This is useful have you have multiple redirections:
Note: HROnline does not escalate claims to your line manager for them to authorise in your absence. Therefore it is essential that you apply a redirection if you are on leave to ensure that the claims can be authorised in your absence.
