SARs are managed by the council’s Compliance Team. Once all relevant documents have been received from relevant services, every file must be converted to PDF to enable the team to review and where appropriate redact information.
An automation is being developed to:
- Convert all emails, excel and word documents to PDF.
- Pull out attachments from emails and convert these to PDFs.
- Handle documents that are password protected.
Pupils under the age of 22 can use the online form to apply for a travel card. If a pupil is under the age of 16, parent / guardian details are also required. The pupil DOB is entered, and the form will automatically work out the age and show all appropriate fields. A photograph is also required for the card.
The application is received and processed using the back-office interface. All the application information is assessed using a step-by-step case process that ensures every application is managed the same way. When the process reaches its conclusion, an automated email is sent to the applicant informing them of the decision.
During Covid the Council ran a trial of a Digital Reception system called Inventry at Kilmory and Helensburgh. That system proved unreliable but many of its functions were welcome; particularly those around visitor management and notification and aspects of H&S.
A Visitor Management system to be created inhouse, recording the details of visitors and notify hosts of guests arrival. Live log of how many visitors are in the building at any time and who they are visiting. Records visitors for fire safety purposes and allows them to be marked as safe in the event of an evacuation.
Private Water Supply registration is managed by the Environmental Health team. The digital application through Netcall Create allows applications to be made for the registration of a private water supply as per legal requirements set out by The Private Water Supplies (Scotland) Regulations 2006 / Water Intended for Human Consumption (Private Supplies) (Scotland) Regulations 2017.
The customer receives a PDF of their form submission, and a copy of the form is also sent to the Environmental Health team for their review.

Current development to move the paper Secondment Application form to an online form. Similar to the Flexible Working process, the form will give OD & HR access to reporting capabilities and an overview of all employee requests.
